What You Will Achieve

Your strong communication and collaboration skills will help the administrative team to run its operations efficiently. You will focus primarily on supporting business leaders by providing administrative support activities and coordinates services either internally or through an outsourced service. You will also be responsible for managing records and files, verifying data, responding to mails and scheduling meetings, amongst other things. You will be the key point of contact for administrative activities and execution.

As part of the administrative support team, you are recognized as an advisor to other colleagues in your group due to your comprehensive knowledge and skills in your area and understanding of the larger organization. You are innovative in identifying solutions to problems by taking a broader perspective that benefits the organization. You encourage collaboration and communication within the team and across groups to influence desired outcomes. You train others and provide guidance to the team that helps us achieve our goal of creating breakthroughs that change patients' lives.

How You Will Achieve It
  • The Assistant to the P&PA Head is responsible for providing administrative support to ensure the efficient and effective operation of the office of the P&PA Head and P&PA Department. This person will report to P&PA Head directly. The person who fills this role will need to collaborate with relevant P&PA colleagues to ensure smooth department operations.
    Main daily responsibilities include:
  • Ensure smooth operation of the office of P&PA Head and overall P&PA department, including organizing LT meetings, department budget management, etc.
  • Oversee each team's budget submissions and phasing, ensuring they manage their budgets well and achieve their budget projections.
  • Plan and execute LT meetings, develop agendas, write minutes, and be responsible for follow up to ensure agreed actions are completed on time.
  • Provide guidance and coordinate with P&PA department colleagues on administrative and operational details.
  • Support P&PA Head with quarterly and annual performance ratings.

  • Carry out routine administrative work such as invoicing, expense reports and travel arrangements with no supervision and limited guidance, making recommendations to the P&PA Head about how to continuously improve operations.
  • Other duties as assigned by line manager.
Qualifications

Must-Have
  • Bachelor's Degree
  • 2+ years' working experience
  • Demonstrated planning and organizing skills
  • Demonstrated administrative experience with an ability to carry out all office functions proficiently, and to complete quality work on a timely basis
  • Excellent attention to detail and interpersonal skills
  • Excellent judgment as well as the ability to work with confidential documents and information
  • Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, and other features
  • Excellent command of English and Chinese, both oral and written
Nice-to-Have
  • Prior experience as an Administrative Assistant supporting executive leadership in a global organization
  • Knowledge of the pharmaceutical industry and healthcare environment
Non Standard Work Schedule

Must be available to work some evenings and weekend days as business demand and travel demands necessitate.
